Conference: get started and use it well
Audio conferences, video rooms and scheduled meetings: how to join, how to host, and how to keep meetings running smoothly.
Bring your team or customers together by phone or in a video room, with no software to install for guests.
Choose what you need
| Option | Good for |
|---|---|
| Audio conference | A regular team call: one number, an optional PIN |
| Video room | Meetings with video: guests join from their browser |
| Conference center | Many meetings on one number: each has its own PIN |
What to prepare
- How many people usually join.
- Whether you want a PIN, and who should host.
- Whether meetings should be recorded.
Join a meeting
By phone: dial the number you were given, and enter the PIN if asked.
By video: open your invite link in a browser and allow the camera and microphone. People without a camera can dial the room number for audio.
Best practice
- Use a PIN for any meeting that is not public, and change it from time to time.
- Use a separate moderator PIN so only the host can start or control the meeting.
- Ask people to mute when they are not speaking, especially on mobiles.
- Use a headset for clearer sound.
- For video, use a stable connection. Turn your camera off if the picture stutters.
- Tell people if you record, as the law may require it.
Advanced options
Ask us about these:
- Wait for moderator: nobody talks until the host joins.
- End when the moderator leaves.
- Announcements of names and the number of people.
- Mute on entry for large meetings.
- Member limits and recording.
Common questions
The PIN is refused. Check the digits and press # if you are asked to. Ask the host to confirm the PIN.
No camera or microphone on video. Allow them in your browser, then reload the page.
An echo on the call. Someone has two devices in the meeting, or is on a speakerphone. Ask them to mute.
